The Item Total column is simple: multiply Quantity by Unit Price. The Shipping Share column is where it gets interesting. Divide the total shipping cost by the total number of items in the order, then multiply by the quantity each buyer ordered. This gives a fair per-item shipping allocation.

The Total Owed column adds Item Total plus Shipping Share. This is the exact amount each buyer owes. When you share this with participants, they can see exactly how their total was calculated. Transparency builds trust, and trust keeps group orders running smoothly.

The Participant Summary Sheet

Beyond the item-level detail, you need a participant-level view. Create a second sheet called Participants. Each row represents one buyer with columns for: Buyer Name, Total Items, Subtotal, Shipping Share, Total Owed, Amount Paid, Balance, and Payment Status.

This summary sheet is what participants actually see. It does not list every item they bought. Instead, it shows the totals. Most buyers do not need to see the item-by-item breakdown. They just want to know: how much do I owe, and have I paid it? The summary sheet answers both questions in one glance.

Use formulas to pull data from the Bulk Orders sheet into the Participants sheet. SUMIF is your friend here. =SUMIF(BulkOrders!B2:B100, ParticipantName, BulkOrders!H2:H100) adds up all the Total Owed values for that specific buyer. This keeps the summary sheet synchronized automatically.

Handling Shipping and Distribution

When the bulk order arrives, the real work begins. Each item needs to be sorted and assigned to the correct buyer. The hipobuy spreadsheet helps by providing a clear packing list. Filter the Bulk Orders sheet by Buyer Name to see exactly what each person ordered. Print this filtered view and use it as a checklist during sorting.
